Job Description :

SUMMARY:
Responsible for overall front office activities, including managing branch administration staff, branch HR and safety functions, payroll, and billing.
Job Responsibilities:
· Answers the phones, covers reception area andresponsible for overall front office activities;
· While utilizing Talent Management System (TMS) analyzes the information provided on a prospective employees, conducts interviews and determines the suitability of the applicants for employment;
· Performs background reference investigations and prior employment references to gain adequate information on which to base a selection decision.;
· If applicant is judged unqualified, tactfully, and in accordance with existing state and federal laws turns the applicant away;
· If applicant is judge qualified, hires that applicant, schedules new hire orientation and performs all hiring related data entry to ensure future payroll processing;
· Prepares monthly billing for fixed fee, square foot, special service, tag, rebill and cost plus billing for a variety of customers and geographic districts;
· Gathers, organizes and verifies all data pertinent for billing activity including labor distribution reports, invoices, vacancy reports, billing action forms and special service (tag) forms;
· Reconciles billing line items to P&L;
· Enters and verifies data in JDE Oracle 8.12;
· Prepare journal entries for labor and expense reclassifications by GL personnel;
· Prints invoices from JDE 8.12 and distributes to customers;
· Maintains permanent billing files for all customers and jobs;
· Prepares credit memos for approval and entry by A/R personnel;
· Coordinates HR functions with Regional and Branch Management, including accurate completion of new hire paperwork and employee verification forms;
· Coordinates with Regional Risk Management all branch insurance claims pertaining to employee injuries, property damage and general liability;
· Maintains current applicant tracking system;
· Coordinates branch safety initiatives as directed by Regional and Branch Management ;
· Assists with preparation of marketing proposals and bid packages; submits contracts for LCMS review;
· Works independently and/or performs other duties necessary for efficient branch office operations, and as dictated by the Branch Management.
Job Requirements:

· Associate or Bachelor Degree is preferred but will consider combination of education and experience;
· 2-5 years of related experience and/or training;
· Good planning and organizational skills;
· Above average knowledge of MS Office Suite.
Bilingual/Spanish is a must
Physical Abilities:

Must be able to perform essential duties and activities that assigned to this position.
